Personal data on our systems:

If you are in our system as a contact, the entry will normally have been created from information provided by you.

We do not buy contacts lists and we have never sold any of the information we hold about people to third parties.

Data is held for the following purposes:

To allow us to identify our tenants and hold records of past tenants.

To allow us to comply with any contractual obligations we may have towards our tenants.

To provide information to tenants about our services, flats and houses.

To retain tenant information for up to six years in case of legal issues and in case we are required to provide information to HMRC or for any other official reason.

To allow us to send information about our services to existing tenants and people who have asked to receive it.

Information is mostly held in our tenant databases MS Word and Excel and on Sage which we use for our accounting records, also Livedrive our cloud backup service.

If you want us to actually delete your details from our system you will need to contact us. We will in most cases do this to the best of our ability.

Please note that if you are a tenant, we will need to retain your details for legal reasons for a minimum of 6 years. For example, in case we receive an enquiry from HMRC.

Visitors to our websites:

When someone visits our website, we use third-party services to collect standard internet log information and details of visitor behavior patterns.

We do this to find out things such as the number of visitors to the various parts of the sites. Save as set out below this information is only processed in a way which does not identify anyone.

We do not normally make any attempt to find out the identities of those visiting our website.

Social Media:

We use various social media organizations such as Facebook, in compliance with the relevant organizations own terms and conditions.
